Pre-arrival at VGU

University Orientation - Vietnamese German University 


Admission Process

After you are awarded the scholarship to study Master of Science in Global Production Engineering and Management (GPEM) at Vietnamese-German University (VGU), the University will send you a link to register for an official student ID. This student ID is also your student card number, which will be issued to you within the first week of your arrival. You should keep the student card carefully because it will be used in many activities during studies such as examinations, library usage, etc.

To finish your admission process and receive the admission letter, you will need to provide VGU with the following information:

·         Full name:

·         Passport number:

·         Date of Birth:

·         Previous university:

·         Major:

·         Year of graduation:

·         Work Experiences (if any):

Enrollment process

After you are successfully admitted, you will be asked to prepare the following documents and scan them to send via email to

·         Application form for international applicant to study in Vietnam (sample here);

·         Curriculum vitae which was written by yourself in English;

·         Copy of birth certificated or notarized copy which is translated into English if the original version is not in either English or Vietnamese;

·         Copy of Passport;

·         Copy of certified University degree or notarized translation copy in English;

·         Certified academic transcript which has been translated into English and notarized;

·         A notarized copy of English certificate (IELTS or TOEFL only) (if any)

·         A file of your face picture with file name: your first name_last name middle name_your birthday_your class. For example: adam_smith_31.05.1976_GPEM2015 

Visa application

The visa application is handled by VGU, so all you have to do is to send the scanned copy of the photo page of your passport via email to the University. Also, you should note the University about the address of Vietnam Embassy in your country where is convenient for you to collect the visa.

The application process takes around seven working days. After the visa is available, VGU will send you the reference number which you can print and bring to Vietnam Embassy/ Consulate near your location to get your visa.

The visa fee is around US$140. You will arrange the payment and keep the receipt to get the reimbursement later on.

This is one-year multiple entry visa. Therefore, you will need to renew you visa one month prior to the end of semester 2 before you go back to your home country for the summer internship. Again, you just need to give the passport to the VGU coordinator.


Hinrich scholars will reside in VGU dormitory in Binh Duong province which is 10-minute to the campus by the school bus.

You will need to fill in the dorm registration form (sample here) and email the form to the University with the hard copy submitted later when you arrive.

The dorm room provides the beds but no mat, mattress, blanket, fan and other facilities. You can bring some or buy them in the market near the dorm when you arrive.

Flight ticket and departure time

You will book the flight ticket for yourself and receive the transportation allowance later together with your stipend of the first semester. The transportation allowance is to pay for both airfare and the taxi fare to go from Tan Son Nhat International Airport (Ho Chi Minh) to VGU dorm. Therefore, you should consult the coordinator at Hinrich Foundation to make sure you don’t book an overpriced ticket.   

It is suggested to arrive at VGU dorm within working hour (8:00am – 4:30pm, Monday – Friday), so you can check in with the dorm management staff right upon your arrival.

You should avoid arriving on late Friday or Saturday because the dorm staff cannot register for your legal stay with the local police within 24 hours of your arrival. If the police checks and you cannot show your legal stay status, you will have to pay a fine.

Before take-off

Make sure you bring the hard copies of all enrollment documents, both original and notarized copies because you will be asked to submit the notarized copies to the Student Affairs Office why the original ones are for its double checking.

Other things you should pay attention to before you take the flight to Vietnam:

  • Consult and inform VGU/ HF about the flight itinerary for logistics arrangement (taxi pick-up, dorm registration)
  • Take note carefully the name and phone number of the taxi driver who will pick you up to dorm from Airport
  • Don’t forget to stick your student visa in your passport and bring it with you
  • Bring enough money for some initial expenses (housing facilities, food) before you receive your stipend (minimum US$150 as a suggestion).
  • Bring some formal outfits for business events/ meetings
  • Just bring some thin coats because there is no winter in Binh Duong/ Ho Chi Minh
  • Some studying tools (notebooks, pens…) or you can buy more later
  • ID photos (3x4cm and 4x6cm) with white background and both ears exposure
  • Some instant foods in case you cannot find your proper food in the first period.
  • Some quick medications (first-aid, fever, headache, digestion…)
  • Personal items/ Housing utilities that you can bring or you can buy them later
  • Bring your laptop with you. It is required for studying & getting lecture in the class room
  • Bring scientific calculator for some calculation subjects of this program
  • Anything else depends on your demand.
